The Executive Assistant supports the Vice President for Strategic Initiatives as well as the Director of Business Operations in the Office of the Provost in administrative and technical areas through a variety of duties and responsibilities. The individual in this role will interact with both internal and external constituents and will collaborate with the Offices of the President, the Deans of the Colleges, General Counsel, Finance, and others. The successful candidate is expected to work with highly confidential materials and to exercise independent judgment in accomplishing the work of the offices. This is a full-time, benefits eligible, non-exempt position.

Job duties include, but may not be limited to:
• Manages the calendar for the VPSI, the Director of Business Operations, and other staff as needed
• Coordinates the logistics related to special projects, programs, and ceremonies 
• Oversees, in consultation with VPSI and other Provost office staff, the implementation and management of the university course evaluation system, the university on-line faculty merit system, and the university on-line tenure and promotion system
• Assist in the budgeting process as well as preparing ad hoc financial and budget reports
• Prepares and manages travel arrangements, credit card reconciliations, and similar transactions
• Reviews financial transactions such as credit card and other budget transactions.
• Screens and prioritizes incoming telephone calls, refers calls as needed, arranges call-backs as needed
• Manages the Faculty-Student Interaction Program
• Drafts correspondence on behalf of the Director of Business Operations and the VPSI
• Responds to faculty, staff, student, and external requests for departmental, college, or university information in consultation with the other staff
• Interacts with tact and diplomacy with all university constituents
• Maintains a high degree of confidentiality in communications and office work
• Demonstrates commitment to inclusive excellence and related diversity, equity, and inclusion initiatives

Minimum Qualifications:
• A minimum of five years of high-level administrative experience
• High school diploma or equivalent
• Experience with report generation and data gathering
• Ability to work effectively and efficiently under pressure
• Ability to manage multiple projects simultaneously
• Excellent problem-solving, organizational, verbal and written communication skills
• Exceptional attention to detail
• Demonstrated commitment to a collaborative work environment
• Demonstrated capacities for independent judgment, discretion, confidentiality, and initiative
• Proficiency in computer utilization with experience in word processing, spreadsheets, calendars, email, and other software. Demonstrates the ability to efficiently use related University software and systems.
• Interest in on-going enhancement of software and information technology skills

Preferred Qualifications:
• Bachelor’s degree
• Administrative experience in a higher education setting

The Community
