The Scheduling and Events Coordinator is responsible for the coordination of comprehensive and routine non-academic scheduling of events for University functions facilitated through the computerized scheduling system. The Coordinator is the main point of contact for general event scheduling as well as Sales & Promotions scheduling and approvals. This position plays a key role in working with student organizations and disseminating event information, training, and assisting students with the event planning process. This position supports Bucknell University's mission and upholds its quality standards of offering outstanding service.

This is a full-time position, thirty-five hours a week, full benefits, that reports to the Assistant Director of Events Management.

Job Duties:
● Facilitate requests for the calendaring and scheduling of co-curricular and social events for campus facilities. Coordinate all requirements of the event with the requestor, and identify the resources needed. Complete a reservation by following-up with requestors to finalize event requirements.
● Assure applicable approval processes are completed for events, the Sales & Promotions policy, MGMT 101, and product and poster approvals.
● Enter all calendar and scheduling data/information into the EMS scheduling system, as well as generate and distribute event confirmations and event reports.
● Support EMS Administrators with training campus users, updating facilities and resources, and creating and maintaining EMS processes and procedures.
● Facilitate and schedule requests for F.D. Brown Conference Center and CLIMBucknell Ropes courses.
● Serve as scheduling advisor, providing relevant information to individuals or groups seeking to sponsor programs regarding facilities, university policies and procedures, and other events and activities scheduled on campus. Train student groups, faculty, staff, and organizations on the current scheduling policy.
● Assist with managing Commencement and Reunion Housing.
● Assist with the execution of summer camps and conferences by scheduling and coordinating logistics for assigned summer sports camps and/or conferences.
● Support events as needed which will include occasional nights and weekends.
● Maintain working knowledge to support other aspects of the Events Management Office when needed: Transportation, Switchboard, Keys, Lost & Found, Box Office, and Guest Housing.
● Support the mission of the University and maintain high standards by providing quality service and working collaboratively. Work collaboratively with EMS office team with upgrades and changes and works proactively to find solutions for improving the system. Maintain good working relationships with other schedulers in the Provost's Office, the Athletic Department, Campus Activities and Programs, and the Weis Center.
● Maintain office confidentiality.

Minimum Qualifications:
● High school diploma or equivalent and a minimum of 2 years of experience in providing outstanding customer service in an events coordination/management environment.

● Positive personality who is proactive.
● Demonstrated ability to manage multiple responsibilities, to adjust priorities in a very busy environment, and work independently.
● Proficiency with computer systems, the internet, standard office systems and basic business practices.

Preferred Qualifications:
● Working knowledge of EMS
● Project management experience in a higher education setting
● Bachelor’s Degree

The Community
