The Associate Director of Admissions for Communication (ADAC) is a full-time administrative staff position reporting to the Associate Dean (or equivalent) leading the technology/operations service team. The ADAC leads the work of professional, support, and student staff in executing major office projects as described below. S/he may also participate in or lead other initiatives as directed by the Dean of Admissions or other members of Admissions' leadership team.
The ADAC contributes to the Admissions communications process (print, e-mail, web, and other media) and helps to implement the office’s multi-channel, integrated communications plan through a constituent relationship management (CRM) system. S/he also serves as a liaison between Admissions and the offices of Communications and Publication, Print, & Mail, as well as outside vendors and contractors. Job Duties: ● In collaboration with appropriate staff in the Division of Communications, maintain and update Admissions communication plan that encompasses all forms of media and all relevant audiences (prospective students, parents, school counselors, and independent educational consultants). ● Lead efforts to implement Admissions communications plan within Slate Constituent Relationship Management (CRM) system. Add further updates and enhancements as communication plan is revised and new CRM features become available. ● Regularly audit Admissions’ web presence for necessary updates, changes, and application of best practices or learning from customer feedback and competitive analyses. ● Oversee Admissions’ customer services team (e-mail and telephone), supervise Senior Admissions Information coordinator. ● Supervise interns and other student employees helping with Admissions’ Communications efforts. ● Training for counseling team on 1:1 recruiting and doing personal outreach that complements communication flow. ● Implement the biennial Admitted Student Questionnaire and other feedback surveys, including Non-applicant Survey. ● Liaise with lead-generation and marketing vendors. ● Initiate assessment of Admissions’ Communication efforts and recommend changes to recruitment and communications strategies based on survey feedback, peer institution bench marking, and adoption of emerging communication platforms. ● In association with Senior Associate Dean and travel team, ensure alignment between off-campus recruitment efforts and the targeting of geographic markets and students populations in other communication channels. ● Oversee Admissions’ social media presence. ● Member of Admissions' CRM implementation team. ● Chair of Admissions-Communication Committee. ● Liaise with Communications and Publications, Print, & Mail on communication vehicles ● Ensure implementation of communication flow and audience segmentation for print and electronic communication. ● Work with customer/visitor service team members to implement, maintain, and update (as needed) Admissions event calendar and online registration system. ● Advise on purchases of items for counselor programs, “giveaways,” and similar items. ● Manage Admissions’ annual updates to the University Catalogs. ● Manage small geographic recruitment territory—visit key high schools in territory, maintain relationships with school counselors, connect with prospective students and applicants from territory, monitor status of first-year applicants from territory. ● Regularly participate in first-year and transfer applicant review (similar to schedule of Admissions senior staff member). ● Conduct on-campus information sessions and serve in regular rotation as counselor-of-the-day. ● Other projects and duties as assigned by the Dean of Admissions or designee. ● The ADAC must be willing to work evenings and weekends as required by the nature of his/her projects, and the general needs of the Office of Admissions during peak times during the year. Minimum Qualifications: ● Bachelor's degree ● Three (3) years of experience in project management and/or communications management for university admissions office or similar organization ● Sound judgment and demonstrated skills in problem solving, creating contingency plans, and handling emergencies ● Excellent organizational abilities, attention to detail, initiative and independence. ● Excellent verbal and interpersonal skills ● A demonstrated ability to finish projects on time and under tight deadlines, and to keep several jobs moving forward at one time ● Knowledge of, or ability/willingness to learn, new computer programs as required to fulfill needs of assignments ● Ability to work effectively with a variety of professional, support, and student staff members in a highly effective and collaborative manner ● Commitment to initiatives that promote diversity and inclusiveness Preferred Qualifications: ● Master's degree or equivalent ● Five (5) or more years of experience of directly relevant experience in college admissions office or similar organization ● Experience in management communications for a university admissions office and/or similar organization ● Familiarity with the uses and functions of one or more constituent relationship management systems Physical Demands: 1. Must be able to independently transport boxes of recruitment material (typically weighing up to 50 pounds). 2. Must be able travel independently by automobile and public transportation.
